About Arbor Genie.

What is Arbor Genie?

Arbor Genie builds a clinical operations pathway automation platform for independent medical practices. We're founded by the team behind Arbor Eyecare, an ophthalmology and optometry practice in the Snoqualmie Valley. We build tools to solve problems we've experienced firsthand — starting with fax automation, and growing into patient journey orchestration, inbound SMS handling, and more pathway types as customers ask.

Who is behind Arbor Genie?

Arbor Genie was founded by Chris Dale, MD MPH and Rebecca Dale, MD. Chris brings healthcare data and technology expertise; Becca brings clinical operations and practice management experience as the owner of Arbor Eyecare. Learn more on our About page.

What practices do you work with?

Our platform is currently optimized for eyecare practices. Fax Genie works with practices that receive medical faxes (which is most of them) and integrates with ModMed, Eyefinity, and others. Pathway Genie is in pilot for cataract consult patient journeys at Arbor Eyecare. We're always interested in hearing from practices that could benefit from our tools — get in touch.

How do you handle patient data and HIPAA compliance?

It depends on the product. Each product has a different architecture and different data handling requirements — see the product-specific sections below for details. In general, we take patient privacy seriously and design our products with HIPAA compliance in mind from the start.

What is Fax Genie?

Fax Genie is an AI-powered fax management system that receives incoming medical faxes, identifies the document type, extracts key information, and routes them to the right person — turning hours of manual sorting into seconds of automated triage. Our OG pathway, born from Joel at Arbor Eyecare drowning in daily fax sorting.

How does Fax Genie work?

When a fax arrives, Fax Genie reads the document using AI, classifies it (referral, prior auth, medical records, prescription refill, etc.), extracts the relevant details, and presents a clean summary on a dashboard for your team to review. Your staff approves the suggested action — Fax Genie handles the busywork, your team stays in control.

What types of faxes does it handle?

Fax Genie handles the most common fax types in eyecare and medical practices:

  • Incoming referrals — patient identified, insurance noted, scheduling task created
  • Medical records — filed in the chart with an AI summary
  • Prior authorizations — auth details extracted and status tracked
  • Contact lens verifications — Rx verified and response sent within compliance timelines
  • Prescription refills — Rx verified, last exam checked, routed for provider approval
  • Junk fax filtering — spam and sales pitches filtered before they reach your team

How does Fax Genie handle patient data?

Fax Genie processes fax data through secure cloud infrastructure. Because it receives and processes PHI on your behalf, we execute a Business Associate Agreement (BAA) with every practice we work with. Data is encrypted in transit and at rest, and access is strictly controlled.

Do I need a BAA for Fax Genie?

Yes. Because Fax Genie receives, stores, and processes PHI in the cloud, a BAA is required. We provide one as part of onboarding — it's a standard part of getting set up.

What fax systems does it work with?

Fax Genie is designed to integrate with your existing fax infrastructure. Specific setup depends on your fax provider and workflow. Contact us and we'll walk you through compatibility for your practice.

How accurate is the AI classification?

Fax Genie correctly classifies and processes over 80% of faxes fully automatically. The remainder are flagged for human review. Every fax is reviewable on the dashboard, so your team always has full visibility — no black boxes.

How do I get started with Fax Genie?

Fax Genie is set up in partnership with your practice. Get in touch and we'll schedule a conversation to understand your workflow and get you up and running.

Something isn't working right. What should I do?

If faxes aren't being processed as expected or you're seeing errors on the dashboard, contact us with a description of what you're seeing. Include the fax date and any details that would help us track it down. We typically respond within one business day.

What is Pathway Genie?

Pathway Genie guides your patients through their care journey — before, during, and after the visit. They receive a secure SMS link, watch personalized video from their doctor, complete a lifestyle questionnaire, and progress through stages on their phone. No app to download. What practices use Pathway Genie?

Pathway Genie is currently in pilot at Arbor Eyecare for cataract surgery consultations. Pathway Genie's architecture is pathway-agnostic — any surgical or longitudinal care workflow can become a pathway. Reach out if you have a workflow you'd like to automate.

How do patients access their journey?

The coordinator sends a secure SMS link after scheduling. Patients tap the link, verify their date of birth, and land on their personalized journey page. Mobile-first, browser-based, no install.

Is patient data secure?

Yes. Pathway Genie is HIPAA compliant. Patient access uses tokenized URLs plus DOB verification; coordinator access uses Azure AD authentication. See our privacy policy for details.
