This privacy policy describes how Yellow Sheet Genie ("the Extension"), developed and maintained by Arbor Genie LLC ("we," "us," or "our"), handles user data. Yellow Sheet Genie is a Chrome extension that generates patient visit prep sheets for eyecare practices using the Eyefinity Encompass platform.

Data Collection

Yellow Sheet Genie accesses the following types of data from your practice's Eyefinity Encompass pages:

  • Patient demographics — name, date of birth, contact information, insurance details, medical record number
  • Appointment information — date, time, appointment type, assigned provider
  • Clinical details — primary care physician, care team, last dilated exam, prescription and order history
  • Insurance and authorization data — plan details, benefits, authorization information captured during the front desk workflow

This data is read directly from the Eyefinity Encompass EPM and EHR pages that the user has open in their browser.

Data Use

All data accessed by the Extension is used for a single purpose: generating patient visit prep sheets (yellow sheets) for use within the practice.

Data is:

  • Displayed in the Extension's side panel for review
  • Stored temporarily in Chrome's local storage while building a print queue
  • Used to generate printable PDF prep sheets via bundled client-side libraries

Data Storage and Transmission

Yellow Sheet Genie operates 100% locally in your Chrome browser.

  • No patient data is ever transmitted to Arbor Genie or any external server
  • No data is sent over the network to any third party
  • There is no cloud component, database, or analytics service
  • All data processing happens client-side within the browser
  • Patient data is held in Chrome's local storage only while building prep sheets and is not retained long-term
  • Even fonts and PDF generation libraries are bundled locally — the Extension makes zero external network requests

Data Sharing

We do not share, sell, transfer, or disclose user data to any third party. Because all data stays on the user's local machine, Arbor Genie never receives or has access to any patient data at any point.

Chrome Extension Permissions

The Extension requests the following Chrome permissions:

  • activeTab — Allows the Extension to read data from the EPM or EHR page the user is currently viewing. Only active when the user interacts with the Extension.
  • scripting — Enables the Extension to run scripts on Eyefinity pages to extract structured patient data and parse insurance documents.
  • storage — Allows the Extension to temporarily hold patient data in Chrome's local storage while building the print queue.
  • sidePanel — Opens the Extension's interface as a side panel alongside the EHR, so staff can view and manage prep sheets without leaving their workflow.

Host Permissions

The Extension's host permissions are limited to:

  • https://pm.eyefinity.com/* — Eyefinity Encompass Practice Management
  • https://see20-20.eyefinityehr.com/* — Eyefinity Encompass EHR

The Extension cannot access any other websites. This is enforced by Chrome at the browser level.

PHI Safeguards

The Extension handles protected health information (PHI) with the following safeguards:

  • SSN masking — Social Security numbers are always displayed as xxx-xx-####. The full number is never shown or stored.
  • Scoped access — The Extension only reads data from the specific pages it needs. It does not access unrelated websites or transmit data externally.
  • No persistence — Patient data is held temporarily in local browser storage and is not retained after use.

Limited Use Disclosure

Yellow Sheet Genie's use of information received from Google APIs adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. Specifically:

  • Data is used only to provide the Extension's core functionality (generating visit prep sheets)
  • Data is not transferred or sold to third parties
  • Data is not used for advertising, analytics, or any purpose unrelated to the Extension's stated function
  • Data is not used to determine creditworthiness or for lending purposes

Children's Privacy

Yellow Sheet Genie is a professional tool intended for use by healthcare practice staff. It is not directed at children under 13 and does not knowingly collect personal information from children.

Changes to This Policy

We may update this privacy policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Extension after changes constitutes acceptance of the updated policy.
